Create Studios – Terms & Conditions

1. Booking & Payment Terms
All bookings must be paid in full to confirm your reservation, unless written terms have been pre-agreed.
First-time bookers: Payment is due within 5 days of invoice.
Recurring bookings: Payment is due within 5 days of invoice unless otherwise agreed.
Unpaid invoices past this timeframe may result in cancellation.
Bookings are only secured once the invoice is paid in full. Availability can change if payment is delayed.
2. Access, Setup, and Overruns
A 10-minute grace period is included for clearing out after your booking ends.
If you require setup or pack-down time, you must book this as part of your hire.
Overrunning your booking without approval will incur an overrun charge per minute (see charge matrix).
Multiple breaches may result in a temporary or permanent ban from booking.
3. Cleaning & Room Condition
All hirers must leave the room in the condition it was found: clean, tidy, and rubbish-free.
Chairs, props, or equipment must be returned to their original place unless otherwise instructed.
All rubbish must be taken offsite. Bins are not provided for large-scale waste.
Any excessive mess, damage or neglect will be charged according to the Charge Matrix.
4. Damage, Liability & Holding Card Details
All bookings are subject to a card-on-file policy.
Your card may be pre-authorised or held securely for the duration of your booking and charged if any T&Cs are breached.
We use secure payment providers (e.g. Stripe, Quickbooks, Square). You will be notified if a charge is applied.
You are responsible for any damage, breakages or loss caused during your hire.
5. Alcohol, Parties & Events
Alcohol is not permitted without explicit written approval.
Private parties, large gatherings, or amplified music must be pre-approved.
Unauthorised events will result in cancellation, charges, or bans.
You are responsible for guest behaviour both inside and outside the venue.
6. Insurance, Equipment & Responsibility
Public events must have liability insurance.
Studio is not responsible for third-party equipment or personal belongings.
Storage must be pre-approved.
7. Use of Space & Capacity
Only use the room(s) you have booked for the declared purpose.
Do not use other spaces or exceed the agreed capacity.
Misuse may result in ejection and charges.
8. Cancellation Policy
One-off bookings: 2+ weeks' notice = reschedule, <2 weeks = no refund.
Recurring bookings: no refunds or rescheduling.
No-shows and late arrivals are non-refundable.
9. Neighbours, Noise & Courtyard Etiquette
Arrive and leave quietly.
No loitering or congregating outside.
Noise complaints may result in bans or charges.
10. Parking & Local Restrictions
Limited parking. 9:30am to 10:30am weekday restrictions apply.
Not responsible for fines or enforcement.
11. Breach of Terms
Breaches may result in booking cancellation, bans, and charges as per the matrix.
12. Hosts & Guests – Responsibilities, Liabilities & Expectations
Hosts must:
Be over 18 years of age.
must accompany any minors at all times.
Be the primary contact for their session and guests.
Ensure guests follow all rules and do not exceed agreed capacity.
Obtain insurance for public access events.
Accept liability for guest damage or rule breaches.
Guests must:
Respect the space and others.
Only access permitted areas.
Comply with alcohol, noise, and safety rules.
Understand they attend at their own risk.
Create Studios staff may intervene in case of safety or disruption.
13. Multi-Site & Franchise Locations
Terms apply across all Create Studios-branded sites, including franchise-operated locations.
Studio-wide policies and bans may be enforced across all locations.
Booking history and behavioural data may be shared internally.
14. Digital Access, Platform & Booking Tools
Using Create Studios digital platforms implies acceptance of these terms.
Users must provide accurate info and not share access codes.
Platform activity may be monitored for safety.
15. General Conditions for Future Systems & Partnerships
Terms may evolve with services, locations, or digital tools.
Continued use implies agreement with future updates.
16. EMERGENCIES
All emergencies must be reported to the relevant emergency services and then studio staff.
Studio staff can be reachable by phone to report any emergency.
Fire & health and safety rules and laws must be adhered to when at create studios.
Signage can be found throughout the studios to understand what to do in the event of an emergency.
17. AI, Data Processing & Privacy
Create Studios may use artificial intelligence (AI) and automated systems to improve service delivery, customer support, and operational efficiency.
Data Collection & Processing:
We collect and process personal data necessary for bookings, payments, communications, and service delivery.
Data may include: name, contact details, payment information, booking history, and correspondence records.
All data is processed in accordance with UK GDPR and Data Protection Act 2018.
We are the data controller for information collected through our booking systems and platforms.
Use of AI Systems:
AI may be used for customer service automation, booking management, scheduling optimisation, and internal administrative tasks.
AI-generated communications or recommendations are reviewed where appropriate but may not always involve direct human oversight.
Users acknowledge that AI systems may process their enquiries, bookings, or correspondence.
AI processing does not replace human decision-making for matters involving disputes, complaints, or safety.
Data Sharing & Third Parties:
Personal data may be shared with secure third-party service providers (e.g. payment processors, booking platforms, communication tools) necessary for service delivery.
Data is not sold or shared with third parties for marketing purposes without explicit consent.
Franchise locations and multi-site operations may share booking and behavioural data internally as outlined in Section 13.
Data Retention:
Personal data is retained only as long as necessary for the purposes collected, or as required by law.
Booking records, payment information, and communications may be retained for accounting, legal, and operational purposes (typically up to 7 years).
Users may request deletion of their data subject to legal and contractual obligations.
User Rights:
You have the right to access, rectify, erase, or restrict processing of your personal data.
You may object to automated decision-making or request human review where AI systems are used.

Create Studios reserves the right to cancel, ban and charge any host or attendee upon violation of these terms and conditions without notice or compensation.
The charge matrix can be found attached to your invoice or upon request.
By booking with Create Studios, the Host and Attendees understand and agree to the terms above.
